Advance the week

Everything that goes wrong on a load-in morning was decided three weeks earlier by somebody who did not write it down. The advance is where the room, the people and the dates get pinned to one record that forty people can read.

  1. Fill Venue Advance first.

    Address, capacity, box office, house contacts. The load-in window sits next to the parking notes so the two can never be separately true.

  2. Work the department cards.

    One card per discipline — patch, plots, media, topology, IP plan. What is not on a card does not get pulled, which is the point of filling them in now.

  3. Crew the days.

    Run the roster against the date window: available, already on a show, or in a conflict you have to answer. You are picking from people you already have.

  4. Book travel off each profile.

    Flights and rooms attach to the person, so their itinerary and their call time are one record rather than two that need reconciling.

  5. Point the trucks at the dates.

    Schedule each run against the day it serves. A run books a window at both ends, which is what stops two trucks arriving at one door.
